Analytics

When someone visits our website we use a third-party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make any attempt to find out the identities of those visiting our website.

Cookies are small text files that are placed on your computer by websites that you visit. They are widely used in order to make websites work, or work more efficiently, as well as to provide information to the owners of the site. See our cookie policy for more information.

Users of our online learning system

During the application process of the diplomas, our website collects a lot of personal information. All of this information has been designated as required for the purposes of processing an application.  By giving us this information (by filling in and submitting the application) you are providing us lawful basis to process your data under ‘Legitimate Interest’.

The data submitted in our application form is transmitted using only secure, encrypted channels.

The data submitted is used to assess your application to be part of one of our diploma courses.  Once we have fully assessed your application we will notify you of a decision, whether you have been successful or unsuccessful with your application to join a course.   If unsuccessful we will retain your information for a period of six weeks from the time we notify you of the decision. The data will be kept for this time period in order that we are able to administer any appeals that may be lodged against our decision.  Following this timeframe, all information that you have supplied will be deleted.

If you are successful with your application then we will keep your information on record as a ‘live’ student on one of our courses.  We keep student records for a period of seven years from the date of graduation (or in the case of students who drop off of the course – for seven years from the point they drop out).

At no point is any personal information shared with any third parties except;

  • To confirm the veracity of the information supplied in an application *
  • The IOC are notified of the names of graduating students for the purposes of administering the certification and holding the graduation ceremony.
  • If we are required by law to do so.
  • If questions are raised by any official source with regards to the veracity of the supplied information *

* If questions are raised by a potential employer or other agency in relation to your admission to the Program and to your performance during the program.

As a graduating student you will retain access to the system to review course materials (for up to seven years) and have the option of displaying your details on the “our Students” pages of the website.  You are required to ‘opt-in’ in order to be shown on these pages and you are in full control of what data is shown on the website (can be updated and edited by you as required).

People who email us

We use Microsoft Exchange Online as our email provider, if you choose to send us an email the details you include will be held securely by Microsoft. Please be aware that you have a responsibility to ensure that any email you send to us is within the bounds of the law.
